Data Retention & Storage Lifecycle

Smorio hosts media to provide Smart Print playback. Studios must keep their own original files because Smorio is not a permanent source-media backup service.

1. While the Plan Is Active

Smorio stores the account and hosted media needed for available features, subject to the active plan, storage, folder, Smart Print, file-size, duration, accepted-resolution, and fair-use limits.

  • Free Trial: ₹0 for 10 days, 100MB total storage, 1 folder, 3 total Smart Prints, up to 3 Smart Prints in that folder, up to 1080p upload resolution, up to 60 seconds and 30MB per video, Smorio playback branding and Smorio QR logo.
  • Starter: 2GB total storage and up to 3 folders.
  • Ultimate Pro: 50GB total shared storage pool and fair-use unlimited folders within storage; per-folder, and fair-use limits still apply.

These are hosting limits, not an uptime, playback-quality, recovery, or permanent-availability guarantee. Playback also depends on the account status, signed access, media preparation, browser, device, camera permission, print conditions, internet connection, and service providers.

2. Free Trial Expiry

The Free Trial lasts for exactly 10 days from its activation timestamp. Reminder emails and dashboard notices may be sent approximately 3 days, 1 day, and 6 hours before the exact expiry time.

  1. Upgrade before expiry:

When a verified paid-plan upgrade is completed before the exact Free Trial expiry time, existing trial folders, Smart Prints, hosted media, and QR mappings remain in the paid workspace and the paid-plan limits take effect.

  2. At the exact expiry time:

The Free Trial has no grace period. New uploads, creation, dashboard content access, QR playback, and scanner playback for trial-created content stop. The content enters the permanent-deletion queue at the beginning of the 11th trial day.

  3. Upgrade after deletion processing begins:

A later paid plan starts with an empty workspace after cleanup. Deleted or deletion-queued trial content is not restored into the paid plan.

3. Paid-Plan Expiry and 60-Day Retention

Paid plans use manual renewal. Smorio may send lifecycle notices approximately 30, 7, 3, and 1 day before expiry, at expiry, and during the post-expiry retention period.

  1. Expiry date:

New uploads, folders, and Smart Print creation stop when the paid plan expires without verified renewal.

  2. Day 1 to 23 - Published playback grace:

Existing published playback remains available during the current 23-day paid-plan grace period, subject to normal technical and access limitations. Creation remains blocked.

  3. Day 24 to 60 - Retained but paused content:

Playback may be paused while hosted content remains retained for a verified renewal. Reminder notices may be sent around retention days 1, 30, 55, and 59.

  4. Day 60 - Permanent deletion:

If there is no verified renewal before the retention deadline, hosted folders, Smart Prints, media, QR mappings, and related playback records are queued for permanent deletion. Permanent deletion cannot be reversed.

An expired paid account does not automatically receive a new Free Trial. The last paid-plan identity and authoritative expiry remain recorded for lifecycle enforcement.

Only retention or hosting products that are actually enabled and presented to the studio create an available preservation option. An internal, disabled, future, or unpublished product definition does not extend this retention period or prevent deletion.

4. Account Deletion and Content Deletion

Lifecycle deletion removes hosted content and related active playback records; it does not necessarily delete the entire Studio account. A separate verified account-deletion request may remove eligible profile information and workspace access.

After eligible hosted media is permanently removed from active systems, recovery may not be possible. Keep independent copies before plan expiry or deletion.

5. Limited Records That May Remain

Smorio may retain limited records where required or reasonably necessary, including:

  • Payment, invoice, refund, accounting, and tax records.
  • Security, fraud-prevention, policy-acceptance, support, lifecycle-notice, deletion-job, purge-audit, and dispute records.
  • Records subject to an investigation, legal hold, or applicable obligation.
  • Residual copies in backups, caches, logs, or provider systems until their normal deletion or overwrite cycle completes.

Smorio does not promise that residual data is overwritten within a fixed number of days across every provider or system. Retention is limited to the purpose for which the record still needs to remain.
